This policy explains what personal information Kwik Klean collects when you use this website or get in touch, how we use it, and the rights you have over it.
Who we are
Kwik Klean Limited (“Kwik Klean”, “we”, “us”) is responsible for your personal information under UK data protection law. We are registered in England and Wales, company number 16980230. Registered office: 124 City Road, London, EC1V 2NX.
If you have any questions about this policy or your information, email us at info@kwikklean.co.uk.
What we collect
When you ask for a quote, we collect the details you enter in the form:
- your name, and your company name if you give one
- your email address and phone number
- the postcode of the site to be cleaned
- the type of premises, what needs cleaning, the rough size of the area and when you would like it done
- anything else you choose to tell us
If you email us, we receive your email address and whatever you include in your message.
If we carry out work for you, we also keep records of the job, such as the site address, the work done, quotes and invoices.
Like most websites, our hosting provider’s servers automatically record basic technical information when you visit, such as your IP address, browser type and the pages you view. This is used to keep the website secure and working.
How we use your information
- to reply to your enquiry and give you a quote
- to arrange, carry out and invoice cleaning work
- to keep the records we need for tax and accounting
- to keep this website secure
We do not sell your information and we will not add you to a marketing mailing list unless you have asked us to.
Our lawful basis
UK data protection law says we need a lawful reason to use your information. Ours are:
- Quotes and cleaning work: to take steps you have asked for before entering into a contract, and to carry out that contract.
- Contacts at business customers: where you get in touch on behalf of a business, our legitimate interest in dealing with your enquiry and the work for your business.
- Business records: to meet our legal obligations, such as keeping tax records.
- Website security: our legitimate interest in running a safe and secure website.
The tick box on our quote form confirms you are happy for us to contact you about your enquiry. You can ask us to stop at any time.
Who we share it with
We only share your information with the providers we need to run the business, and only for that purpose:
- IONOS, which hosts this website and sends us the details you enter in the quote form
- Google (Google Workspace), which provides our business email
- professional advisers such as our accountant, where needed
These providers act on our instructions and must keep your information secure. We may also share information if the law requires us to.
Transfers outside the UK
Some of our providers may store or process information outside the UK. Where they do, the transfer is protected by safeguards recognised under UK law, such as adequacy regulations or approved contract terms.
How long we keep it
- Enquiries that do not lead to work: up to 12 months, then deleted.
- Customer and job records: six years from the end of the financial year they relate to, as required for tax and accounting.
- Copies of emails our website sends, including quote requests: 90 days. We keep these on the website as a backup in case an email goes missing, then they are deleted automatically.
- Server logs: kept by our hosting provider for a limited time for security purposes.
Cookies
This website does not use analytics, advertising or tracking cookies, and the quote form does not set any. The only cookies used are those WordPress sets when the site’s administrators log in. If we add any non-essential cookies in future, we will update this policy and ask for your consent first.
Your rights
You have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct anything that is wrong or incomplete
- ask us to delete your information
- ask us to restrict how we use it, or object to us using it
- ask us to transfer it to you or to another organisation
To use any of these rights, email info@kwikklean.co.uk. We will reply within one month, and there is normally no charge.
Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed.
